PAYROLL & BENEFITS ANALYST

We are looking for a Payroll & Benefits Analyst To provide full Benefits administration and analytics to all internal and external clients, maintaining a high level of customer service and compliance with company standard operating procedures; security of employee information and legal obligations.

PRINCIPAL ACCOUNTABILITIES

- Day to day management of Benefit schemes, to ensure efficiency and accuracy with a high level of customer service to Biffa employees and third party clients.
- To maintain compliance with internal processes; data protection; security of employee information; legal obligations and operational objectives whilst adhering to Company and Statutory deadlines.
- To provide full reconciliation of PAYE (Tax & NI), pension contributions and payroll control accounts, identifying remedial action required via payrolling adjustments or journals.
- To work within the Biffa Employee Services Team, providing effective, accurate and timely administrative support to the Shared Services function in accordance with the department Service Level Agreements, agreed Key Performance Indicators and system functionality.
- To ensure that all activities are managed in accordance with Provider guidelines, Employment Law, Data Protection & HMRC Legislative Regulations, Company contractual rules and defined Business arrangements and Biffa Policy.
- To provide emergency cover for processing all aspects of Biffa Payroll including Expenses if required.

NATURE AND SCOPE

- Processing forms; amendments and updates to employee records
- Completion of periodic & annual renewals; returns; recharge and accrual journals and reporting for Biffa; HMRC & third party providers.
- Updating and maintaining Benefit information in Biffa databases including PAS (P11D software), CIPHR & Payrite.
- Maintaining the Fuel Buyout Scheme on a monthly basis and processing the annual year end results for the scheme` true up`; consolidating information collated for fuel costs and mileage records.
- Providing marginal tax rate information for PSA validation to meet HMRC dispensation guidelines and Biffa Policy.
- Reconciling PAYE (Tax & NI) payments and pension contributions on a monthly / annual basis complying with Statutory deadlines.
- To maintain reconciliation of Payroll Control Accounts on a monthly basis - working with ESC -Payroll Team members` ref their net pay responsibilities.
- To work with the HR & Payroll Team Leaders to ensure that Benefit information submitted to and issued by the Employee Services Department complies with the agreed formats, published deadlines, company processes and Authority Matrix.
- Work with the Head of Employee Services and ESC Team Leaders to diarise and plan routine & periodic Benefit tasks to meet Pay run processing deadlines, monthly reporting deadlines, annual returns and changes to legislation.
- Developing IT super-user skills & working knowledge of Biffa systems and database administration to include Biffa Net, CIPHR, Payrite and PAS P11D systems software.
- Acting as a point of contact for all internal & external clients of Biffa Employee Services, in relation to Benefit enquiries and provider returns.
- Collating, verifying and processing all employee Benefit information relating to new joiners; leavers; opt in/outs; changes to contribution levels & memberships bandings; employee lifecycle changes for maternity and long term sickness; earnings level calculations and updates to personal details for the following Company schemes: - - Pensions

- - Company Cars with/without Fuel Cards (P46 Car & Fleet Data)
- - Fuel Buyout Scheme
- - Vans
- - Private Medical Insurance
- - Fuel Cards (Opt Out Drivers)

- - Childcare Vouchers

PERSON SPECIFICATION

- Diploma in Payroll Management or Similar Qualification.
- Good standard of general education including Maths and English
- General IT skills inc Excel, Word & PowerPoint
- Ability to communicate effectively at all levels with highly developed customer facing skills
- Ability to work under pressure to deadlines using own initiative.
- Highly organised with a high level of attention to detail
- Professional and customer-centric attitude
- Confidentiality and total discretion is paramount to this role
